How to Send an Email to a Survivor
This article is for a:
Case Worker
Email a survivor directly from their profile in the Survivor Management System. You compose, format, attach files, and send without leaving the survivor's record.
If a survivor sends you a new email, it appears on your dashboard, and you can reply to it directly from there. To start a new email, follow the steps below.
Steps
1. Open the survivor's profile. From your dashboard or cases view, click the survivor's name. You can also find them with the search bar in the top right corner.
2. Open the communication tab at the top of the profile. [CONFIRM UI: exact tab label and capitalization] The communication options appear above a text box at the bottom of the screen.
3. Select Email.
4. Check the recipient and subject fields.
The "To" field fills in with the survivor's email address automatically.
CC is optional. The CC button sits to the right of the To field.
The subject line is required. If you are replying to an email, the subject fills in automatically. If you are starting a new email, type your own.
5. Write your message in the text box. There is no character limit. The system does not add a signature, so type yours at the end of every email.
6. Format your message if you want to. The formatting tools sit at the top of the text box: bold, italics, underline, links, headers, quotes, and bulleted or numbered lists.
7. Attach files if you need to. Click the paperclip icon at the bottom left of the text box, then add your files in the drop zone. You can attach up to 5 files, each up to 25MB. Files over 25MB will not send.
8. Click Send Email. The button highlights orange while the email sends.
Undo a send
For a few seconds after you click Send Email, a darker orange Undo button appears at the bottom right of the outgoing message. [CONFIRM: exact undo window in seconds]
Click Undo to pull the email back. Nothing is lost: the full email returns to the text box so you can edit it and resend.
Delete a draft
To discard an email before sending it, click the trash can icon at the bottom left of the text box. This clears the draft completely.
Good to know: drafts carry over
If you leave a survivor's profile without deleting a draft, its contents may still be there the next time you open the profile. This applies to email, SMS, and notes drafts. If you do not want a draft to carry over, delete it before you leave the profile.
