How to Add an Internal Note and Set a Reminder

Internal notes give you a place in a survivor's profile in the Survivor Management System to record case context for your team. The survivor cannot see them. An optional reminder resurfaces a note on your dashboard on a date you choose.

Add a note

  1. Open the survivor's profile. From your dashboard or cases view, click the survivor's name. You can also find them with the search bar in the top right corner.

  2. Click the Communication tab at the top of the profile.

  3. Select Note from the communication options above the text box at the bottom of the screen.

  4. Type your note. There is no character limit. Format it with the tools at the top of the text box: bold, italics, underline, links, headers, quotes, and bullet or numbered lists.

  5. Set a reminder if you want one. Click the calendar icon next to "Set reminder" at the bottom left of the text box, then pick the date you want the note to reach your dashboard. Reminders are optional; a note saves without one. Example: a survivor has not responded, and you want to check in if that holds. Set the reminder for two weeks out. The note appears on your dashboard that day.

  6. Click "Save Note."

Notes are internal only. The survivor cannot see them. But a survivor can request a copy of everything in their file, so write every note as if the survivor will read it one day.

How reminders work

  • The reminder stays off your dashboard until its date arrives. Until then, the note is still visible in the survivor's profile under the Communication tab.

  • On the reminder date, the note appears on your dashboard.

  • Click "Complete" (the checkmark icon) on your dashboard to resolve the reminder and remove it.

  • Click "Snooze" (the clock icon) to clear the reminder for now. It resurfaces in five days.

  • You cannot complete a reminder early, and you cannot manage it from the Communication tab. Reminders are handled from the dashboard, and only once they are due.

  • You cannot change a reminder date after saving the note. If the date needs to move, save a new note with the new reminder.

Edit a note

  1. Click "Edit" next to your name on the note.

  2. Make your changes. Text and formatting are both editable.

  3. Click "Save" to update the note, or "Cancel" to leave it as it was.

The reminder date is the one thing you cannot change. If it needs to move, save a new note with the new date.

Find notes in the conversation thread

  • Internal notes are orange. Communication with the survivor is white, so the two are easy to tell apart at a glance.

  • Click "Notes" in the tab bar above the conversation thread (next to All, Email, SMS, Files, and Calls) to filter out survivor communications and see only the internal notes for that survivor.
